FAQ

Purpose: Customer-facing FAQ copy covering products, quotations, payment, EU delivery, direct shipment, lower-carbon freight routing, receipt inspection and claims. Adapt section placement and hyperlinks during website publishing.

How to Use This Master FAQ

This document is structured as website-ready question-and-answer copy. It may be published as one searchable FAQ page or split across product, ordering, delivery, sustainability and support pages. Product pages and checkout should link to the relevant FAQ anchors rather than repeat long explanations.

Legal hierarchy: This FAQ provides general guidance. The applicable written order confirmation and Printlocka’s General Terms & Conditions of Sale take precedence if there is any inconsistency.

About Printlocka

1. What is Printlocka?

Printlocka is a B2B supplier of large-format print media, display systems, signage products, POS solutions and related accessories. Printlocka B.V. serves European customers from the Netherlands and builds on supply-chain and product experience developed since 2003.

2. Who does Printlocka supply?

We primarily serve registered businesses, including large-format printing companies, sign makers and fabricators, exhibition and event contractors, advertising producers, display specialists, resellers and other professional users. Our standard commercial offering is not intended for private consumers.

3. Where is Printlocka located?

Printlocka B.V. is based in the Netherlands. Our office is in Hoofddorp and our EU warehouse is in Gorinchem. The relevant delivery or collection location will be confirmed in the quotation or order confirmation.

4. Which countries do you serve?

We focus on customers throughout Europe. Standard delivery estimates apply mainly to mainland European business addresses. Deliveries to islands, remote regions and non-EU European destinations are confirmed separately.

5. How can I contact Printlocka?

Email info@printlocka.com or use the enquiry and quotation functions on www.printlocka.com. Please include your company name, destination country, required products, quantities and target delivery date so that we can respond efficiently.

Products and Applications

1. What product categories do you supply?

Our range includes selected large-format print media, display hardware, signage products, POS products and accessories. Availability varies by SKU, specification and stocking location.

2. Do you supply display hardware only, or finished graphics as well?

Many display products are supplied as hardware only unless the quotation or product page expressly states that printing is included. Printed graphics or complete printed display solutions may be available for selected products and projects and must be confirmed in writing.

3. How do I choose the correct material or display system?

Tell us the intended application, printer and ink technology, required size, indoor or outdoor use, expected service period, fire-performance requirement, finishing method and installation environment. We can then help identify a suitable option, but the customer remains responsible for confirming fitness for the final application.

4. Are product colours and images exact?

Website images, screen colours and photographs are illustrative. Colour, surface, construction and finish may vary slightly between production batches or device displays. Request a sample or written specification where an exact visual or technical match is important.

5. Can products or packaging be customised?

Custom dimensions, colours, components, printing, labelling or packaging may be available, subject to feasibility, minimum order quantity, lead time and written approval. Custom-made goods are quoted separately and normally cannot be cancelled or returned once production has started, except where legally required or agreed in writing.

6. Are spare parts and accessories available?

Selected replacement parts, bags, fixings and accessories may be available. Provide the product name, SKU, purchase date and photographs of the part or connection point so that compatibility can be checked.

Specifications, Compliance and Samples

1. Where can I find product specifications?

Key information is shown on the relevant product page or supplied with the quotation. If a specification is missing, please state the required material, size, weight, thickness, finish, packing method, quantity and application in your enquiry. Written order documents take precedence over general website descriptions.

2. Do your products have flame-retardant, FSC or other documentation?

Documentation is product- and supply-chain-specific. Selected products may be available with relevant test reports, declarations or FSC-related documentation, but no certificate or trademark claim should be assumed for the entire range. State your exact requirement before ordering so that availability, scope, validity and permitted claim wording can be verified.

3. Can I request samples?

Samples may be available for material evaluation, colour review or compatibility testing. Sample availability, size, charge and freight cost depend on the product. A sample does not replace testing under the customer’s actual printing, finishing, installation and use conditions.

4. Should I test products before production?

Yes. Customers should test new materials, new production batches and unfamiliar applications before full production. Testing should cover printing, curing, cutting, laminating, sewing, mounting, adhesion, finishing and intended environmental conditions as relevant.

5. Can Printlocka guarantee suitability for my end use?

We can provide available product information and practical guidance, but suitability depends on equipment, ink, processing, installation, environment and the customer’s end-use requirements. Unless expressly agreed in writing, the customer is responsible for product testing and final application approval.

Stock, Pre-Orders and Availability

1. How do I know whether a product is in EU stock?

Products identified as EU stock are subject to prior sale. Website information may not reflect orders being processed at the same time. Stock and the estimated dispatch date are confirmed only when Printlocka accepts the order.

2. What happens if part of my order is unavailable?

Depending on the circumstances, we may dispatch available items separately, hold the order until it is complete, suggest an alternative, or confirm a revised dispatch date. Partial deliveries may be invoiced separately. Additional delivery charges may apply when separate shipments are requested by the customer.

3. Can I pre-order a non-stock product?

Yes, selected products may be pre-ordered for future delivery or reserved under an agreed stocking arrangement. Please provide the SKU or product description, specification, size, quantity, required delivery date, destination and any sample-verification requirement.

4. Do standard EU delivery times apply to pre-orders or custom products?

No. Pre-order, customised, non-stock and China-direct products have separate lead times stated in the quotation or order confirmation.

5. Can Printlocka hold stock for my company?

A call-off or reserved-stock arrangement may be considered for recurring demand. Forecast volumes, reservation period, payment, minimum call-off quantity, storage, release schedule and treatment of unused stock must be agreed in writing.

Quotations, Prices and Orders

1. How do I request a quotation?

Add products to the quotation cart or contact us directly. Include company details, product or SKU, specification, quantity, delivery address, delivery deadline and any certification, packaging, sample or printing requirement.

2. Are website prices final?

Unless clearly stated otherwise, website pricing is indicative and may depend on quantity, specification, stock location, packaging, delivery method, taxes and currency. The accepted quotation or order confirmation establishes the applicable price and scope.

3. Are VAT and delivery included?

VAT and freight are included only when expressly stated. Applicable VAT treatment depends on the transaction and validated customer information. Delivery, express service, pallets, special handling and remote-area charges may be quoted separately.

4. Do you offer quantity pricing?

Quantity-based pricing may be available by carton, bulk box, pallet, roll volume, project quantity or container load. Relevant price breaks will be shown in the quotation and apply only to the stated product, quantity, validity period and delivery basis.

5. How long is a quotation valid?

The validity period is shown on the quotation. Prices may be revised after expiry because of stock, exchange rates, raw-material costs, freight, duties or supplier changes.

6. When is an order accepted?

An enquiry, quotation request or purchase order does not by itself guarantee acceptance. The order is accepted when Printlocka issues written acceptance or an order confirmation, subject to any stated conditions.

7. Can I change or cancel an order?

Contact us immediately. A change or cancellation is effective only when accepted in writing. Costs already incurred may be charged. Custom, cut-to-size, printed, pre-ordered or specially sourced products may not be cancellable once work or procurement has begun.

Payment and Credit

1. What payment terms are available?

Orders are normally prepaid unless approved credit terms have been granted in writing. Approved customers may receive credit terms of up to 30 days as stated on the invoice or order confirmation. Credit approval, limit and continued availability remain subject to review.

2. When does order processing begin?

Processing begins after the order has been accepted and payment has been received or approved credit terms have been confirmed. Production or procurement for custom and non-stock goods may also require artwork, sample or specification approval.

3. Which currencies and payment methods do you accept?

Available currency and payment instructions are shown on the quotation or invoice. Customers should use only the bank details stated in an authentic Printlocka invoice and should verify any unexpected request to change bank details directly with us.

4. Can a first order be placed on credit?

Credit is not automatic. New customers are generally asked to prepay unless credit has been approved following a commercial and financial review.

EU Warehouse Delivery

1. Where are EU stock orders dispatched from?

Products confirmed as in stock are dispatched from our warehouse in Gorinchem, the Netherlands, unless another dispatch point is stated in the order confirmation.

2. What are the estimated dispatch times?

Standard in-stock parcel and mixed-product orders normally dispatch within 1–2 working days. Oversized or palletised orders normally require 2–3 working days. Products at an external or partner location normally require 3–5 working days. Pre-order, customised and non-stock lead times are confirmed separately.

3. What is the daily order cut-off time?

Orders received and confirmed before 12:00 Central European Time (CET/CEST) on a working day will normally begin processing that day. Later orders, weekend orders and public-holiday orders normally begin processing on the next working day. The cut-off does not guarantee same-day dispatch.

4. What are the estimated carrier transit times after dispatch?

Typical estimates for mainland business addresses are: the Netherlands, 1 working day; Belgium and Luxembourg, 1–2; Germany, 1–3; France, Denmark and Austria, 2–3; Czech Republic and Poland, 2–4; Italy, Spain and other mainland EU destinations, 3–5. Remote regions and European islands usually require 4–7 working days or a separate quotation. Non-EU destinations are confirmed separately.

5. What is the total estimated time from confirmation to delivery?

For standard in-stock parcel orders, allow approximately 2–3 working days within the Netherlands; 2–5 working days for Belgium, Luxembourg and Germany; 3–5 working days for France, Denmark and Austria; and 4–7 working days for many other mainland EU destinations. The total combines processing and carrier transit time.

6. Are dispatch and delivery dates guaranteed?

No. Dispatch dates, transit times and delivery dates are estimates unless Printlocka expressly accepts a binding commitment in writing. Pallets, oversized goods, restricted-access sites, remote areas, customs and carrier disruptions may extend delivery.

7. Is express delivery available?

Express service may be available for selected parcel orders and destinations at additional cost. Contact us before ordering so that stock, order size, packaging, carrier availability and the required date can be checked.

8. Will I receive tracking information?

Where tracking is available, it is provided after dispatch. Activation may take several hours after collection. Some pallet, groupage and specialist services provide limited tracking.

9. What information is required for delivery?

Provide a complete business address, contact name, telephone number and delivery instructions. Tell us in advance about restricted access, limited opening hours, appointment requirements, tail-lift or forklift needs, exhibition venues, construction sites, third-party warehouses or residential destinations.

10. What delivery term normally applies?

Unless otherwise agreed in writing, delivery is DAP (Delivered at Place, Incoterms 2020) to the destination in the order confirmation. The goods are placed at the customer’s disposal on the arriving vehicle, ready for unloading. Unloading, unpacking, internal handling, installation and movement beyond the agreed point are not included.

11. What should I do for an exhibition or fixed-date project?

Provide the required delivery date when requesting the quotation and contact us before ordering. Do not schedule printing, installation, production, exhibition attendance or other time-sensitive work until the goods have arrived and been inspected.

12. What happens if delivery fails because the address or access information is incorrect?

Additional costs for an incorrect address, limited access, waiting time, failed delivery or redelivery may be charged to the customer.

Collection and Direct Shipment

1. Can I collect an order from the warehouse?

Collection may be available by prior written arrangement. Do not send a vehicle until the collection time, reference, package count, dimensions, weight and loading requirements have been confirmed.

2. Can Printlocka ship directly from China or another origin?

Direct shipment may be available for suitable non-stock, project, pallet or container orders. Lead time, Incoterm, import responsibility, duties, tax, documentation and delivery route will be stated separately.

3. Can a full container be delivered directly from a European port to my warehouse?

Potentially, yes. When order volume justifies a full container and the delivery site can receive it, port-to-buyer delivery may avoid unnecessary inland distribution legs. Feasibility depends on the product, route, customs status, carrier capacity, unloading arrangements and written delivery terms.

Lower-Carbon Freight Routing

1. Why can direct delivery reduce freight emissions?

A direct port-to-buyer route can reduce road kilometres and handling stages compared with routing the same full load through one or more inland distributors. The result is route-specific and direct delivery is not automatically lower-carbon in every case.

2. What is the 20-tonne illustrative calculation?

Using an indicative planning factor of 0.05 kg CO2e per tonne-kilometre, a 20-tonne load produces approximately 1.0 kg CO2e for each kilometre travelled by road. A 300 km direct route therefore produces an estimated 300 kg CO2e.

3. How much could the illustrative direct route save?

Against a 700 km route through one distributor, the 300 km direct example saves about 400 kg CO2e, or 57%. Against a 1,000 km route through two distributors, it saves about 700 kg CO2e, or 70%.

4. What does the carbon estimate include and exclude?

The example covers European road transport only. It excludes ocean freight, port handling, warehousing, packaging and product manufacturing. Actual results depend on verified route distance, vehicle technology, fuel, load utilisation, consolidation and empty running.

5. Can Printlocka provide a shipment-specific estimate?

We can help compare plausible routes when sufficient shipment and destination information is available. Any result should be treated as an estimate unless it uses carrier-specific data and verified distances. The illustrative methodology refers to the GLEC Framework v3.1 and UK Government GHG Conversion Factors 2025.

Receiving, Damage and Claims

1. What should I inspect when delivery arrives?

Check the number of parcels or pallets and their external condition before accepting delivery. Record visible damage, shortage or packaging irregularity on the carrier’s delivery document and take clear photographs wherever possible.

2. How quickly should visible transport damage be reported?

Report it as soon as possible, preferably within 24 hours. In all cases, visible defects, shortages or damage should be reported in writing within 5 business days of delivery, with photographs, the order or invoice number and a clear description.

3. How should hidden defects be reported?

Report hidden or non-visible defects in writing within 14 days after discovery, in accordance with the applicable General Terms & Conditions of Sale. Keep the product, packaging and evidence available for inspection.

4. Does signing “unchecked” preserve a claim?

No. Signing a delivery receipt as “unchecked” does not replace prompt inspection and written reporting.

5. What information should a claim include?

Include company and contact details, order or invoice number, SKU, quantity affected, date received, description of the issue, photographs of the goods and packaging, labels or batch details, and any carrier notation. Do not dispose of or alter affected goods until advised.

6. Can I return unwanted goods?

Business returns require prior written authorisation and are subject to the applicable General Terms & Conditions of Sale. Custom, cut, printed, used, opened or specially sourced goods are normally not returnable unless defective or otherwise agreed. Unauthorised returns may be refused.

Website, Accounts and Documents

1. Do I need an account to request a quotation?

Account requirements depend on the website function. Even without an online account, you can contact Printlocka directly. Full company, billing, VAT and delivery information will be required before an order is accepted.

2. How is my business information used?

Information is used to respond to enquiries, prepare quotations, assess orders, arrange delivery, administer accounts and meet legal obligations. Refer to the website Privacy Policy for the applicable details.

3. Which document takes priority if information differs?

The applicable written order confirmation and Printlocka’s General Terms & Conditions of Sale take precedence over this FAQ and other general website information. Product-specific written documents take precedence over general descriptions where they address the same point.

4. Can this FAQ change?

Yes. Products, stock, services, delivery networks and procedures may change. The current online version applies as general guidance, while accepted order documents govern each transaction.
